School management dashboard with students per grade, today's attendance, outstanding fees and upcoming events

Overview

This demonstration project shows a school management system for a private school or training centre with a few hundred students across several grades. The office manages enrolment, classes, timetables and fees; teachers take attendance and enter grades from any device; and parents follow attendance, results, invoices and announcements in a parent portal instead of paper notes and phone calls.

The same structure fits language schools, tutoring centres and vocational institutes: terms, grading scales, subjects and fee plans are configuration, so the system follows each school's own academic year and rules.

The challenge

Schools often run on a mix of spreadsheets for students and fees, paper registers for attendance, a separate tool for report cards and a WhatsApp group for parents. The same data is typed in several times, absences reach parents late or not at all, report cards cost teachers evenings of copying numbers, and the office spends the start of every term chasing unpaid fees. Student data is sensitive, yet it ends up spread across files and personal phones.

The solution

The concept keeps one record per student — enrolment, class, guardians, attendance, grades, fees and documents — and builds every screen on top of it. Teachers take attendance per lesson in a few taps, and parents are notified of an absence the same morning. Grades are entered per assessment and weighted into report cards automatically, in the school's own grading scale. Fee plans generate invoices per term with online payment and reminders, and announcements reach parents through the portal, email or WhatsApp.

Key features

  • Student records with guardians, class history and documents
  • Classes, subjects and weekly timetables
  • Attendance per lesson with same-day parent notifications
  • Gradebook with weighted assessments and report cards
  • Fee plans, term invoices, online payment and reminders
  • Parent portal for attendance, results, invoices and messages
  • Announcements by portal, email or WhatsApp
  • Multilingual interface with right-to-left support

Who it is for

  • Private and international schools
  • Language schools and tutoring centres
  • Vocational and training institutes
  • Schools replacing spreadsheets, paper registers and WhatsApp groups

Technical approach

A Next.js application with separate areas for the office, teachers and parents, backed by PostgreSQL through Prisma. Access is scoped strictly on the server: a teacher sees their own classes, a parent sees only their own children, and every change to grades and attendance is logged. The interface is multilingual and right-to-left aware through next-intl, so Arabic and English can run side by side. BullMQ handles absence notifications, fee reminders and report cards rendered to PDF; messages to parents use email and the WhatsApp Business API with approved templates.

Questions about this type of project

Is this system used by a real school?

No. It is a demonstration project with fictional students, classes and grades. It shows how Saad builds custom school management software.

Can teachers and parents use it on their phones?

Yes. The teacher and parent areas are designed for phones first and work in the browser, so nothing has to be installed. A dedicated mobile app can be added later on the same API.

Can it follow our grading system and academic year?

Yes. Terms, subjects, grading scales, weightings and report-card layouts are configuration, so the system follows the school's own rules rather than a fixed template.
